FAQ
Common questions about Granily.
Straight answers to what owners, managers, and care staff ask before they get started: how the product works, how you switch to it, what it costs, and how it keeps care data safe.
About the product
Granily is one system for running a UK residential care home day to day: care notes, rota, medications, incidents, risk alerts, training, and compliance, on the web and on a mobile app.
Residential care homes in the UK, roughly 10 to 100 beds, run by owners and managers, and used day to day by care staff. It is built for homes that help people with daily living rather than homes providing full clinical nursing care.
Most homes we speak to have moved off paper but run several tools that do not talk to each other: care records in one, the rota in another, training on a spreadsheet. Granily brings that into one place. If your current tools already cover everything and work together, Granily may not be for you. If your team is rekeying things or hunting for information, it is worth a look.
It replaces the day-to-day recording you do on paper going forward. You do not have to type in years of old records to start. Your existing paper records are kept for the legal retention period, and you move across your current residents and their up-to-date training when you begin.
Yes. The web app is the full system and everyone can use it, with caregivers seeing a view limited to what matters to them. The mobile app is an optional quick tool for caregivers to log notes, medications, and incidents on the go. A caregiver who prefers the web app can use that instead.
The web app works on any device with a browser, so a home can use the computers and tablets it already has. The mobile app runs on iOS and Android, on both phones and tablets.
Not yet. Granily stores family contact details, but it does not currently have a family messaging portal or appointment scheduling. If those matter to you, say so on the call and we will be straight about where they sit on the roadmap.
No. Granily is built for running the care side of the home. It does not handle billing or invoicing, so it sits alongside whatever you use for finance rather than replacing it.
Setup and switching
It depends on you. Some homes are live within a few days, others take a few weeks because they do it in stages during quieter periods. Granily is built so a manager can set it up without help. The system is ready when you are.
No. Most homes do, because it is straightforward, but if you would rather we load your data and run the training for you, that is available as an optional paid service.
You move across your current residents and their up-to-date training and care information so Granily is useful from day one. Historical records can stay in your old system for as long as you need them. We will talk through the specifics of your situation on the call.
The aim is the opposite. The recording your team already does moves into one place, and because the mobile app is quick, a note or a medication takes a few taps rather than a walk to the office. Most of the extra work is in the first setup, not the daily use.
Most care staff pick up the parts they use within a few shifts, because the app is built around the actions they do most. We provide short written guides and videos, and the optional setup service includes training if you want it.
Start with a 15-minute call with Robert, who will show you how it works against the way your home runs. If it looks like a fit, we will talk through the best way for your home to get started.
Cost and commitment
Granily is priced per home, not per user, so adding staff does not change the price. Most homes pay somewhere between £1,000 and £2,000 a month, depending on the size of the home. We give you the exact figure on the call.
Care homes have a lot of staff, and charging per user would punish you for having a full team. Pricing per home means the cost is predictable and everyone who needs access can have it.
Only if you choose the optional setup service, where we load your data and train your team. Most homes set up themselves and pay no setup fee.
We will cover the terms on the call so there are no surprises. The intention is a fair arrangement, not a long lock-in, and you can take your data with you if you leave.
It is your data. If you leave, we provide an export so you can take your records with you. You are not locked in by holding your information hostage.
Security and compliance
Yes. Granily is built to handle personal and care information in line with UK GDPR. Data is hosted in the EU, and we sign a data processing agreement with every home.
On servers in the EU. Each home's information is kept separate from every other home's, and access is controlled so people only see what they need to.
Yes. Care notes, incidents, medications, and training records are kept with a full audit trail, and compliance status is visible as you go. You can pull the records an inspector asks for in a few clicks, by date, by resident, or by topic.
Access is role-based. Managers see the whole home, care staff see the residents and information relevant to their work, and you control the permissions down to the individual level.
Yes. Every change is recorded with who made it, when, and what changed. That audit trail is there both for inspections and for your own peace of mind.
By notifications sent to the right people, delivered by both push notification and email, so an update does not depend on someone happening to be looking at the screen. Notifications follow shift hours by default, so staff are not disturbed on a day off.
For care staff
No. The mobile app is there to make logging things quick while you are on the floor, but if you would rather use the web app on a computer or tablet, you can do everything there instead.
It is built to do the opposite. The things you do most, like writing a note or recording a medication, take a few taps, so you can log something and get back to care without walking to a computer.
Granily needs a connection to sync, but the app is built to handle short drops and catch up once you are back online. We will talk through how it behaves in your home's specific setup on the call.
No. Notifications follow your shift hours by default, so the app stays quiet when you are not working.
No. The app is built around the way care staff already work, and most people are comfortable within a few shifts. There are short guides and videos if you want them.
